AI Property Manager

AI operations support for the work property managers repeat every day.

Market Ready is developing a support layer for property-management teams: triaging requests, structuring maintenance work, preparing routine communication and keeping outstanding work visible—while people retain control of judgement, approvals and relationships.

Not a replacement for the property manager or the system of record.

Illustrative planned workflow

Intake to reviewed action

Property management is a continuous stream of incoming work.

Requests arrive through email, phone calls, portals, owners, tenants and trades. Much of the daily effort is spent finding the context, preparing the next action and keeping follow-up visible before the final professional decision is made.

  1. Fragmented intake and missing context

Property, contact, access, attachments and urgency arrive in different formats—and rarely together.

  2. Manual tasks and routine communication

Each request must become a clear task, handoff or update for the right person.

  3. Outstanding work and unclear ownership

Open, blocked and approval-dependent work becomes difficult to see across disconnected systems.

From an incoming request to a reviewed next action.

The planned operating model is a bounded workflow. AI helps collect, structure, prepare and track the work. The property manager remains responsible for important decisions and approvals.

  1. Stage 1 of 5

    Receive

Capture an incoming request and the available property, tenancy, contact and supporting information from a configured source.

  2. Stage 2 of 5

    Structure

Identify the request type, organise the available details, surface missing information and flag potential urgency for immediate human review.

  3. Stage 3 of 5

    Prepare

Prepare the relevant summary, draft communication, task, handoff or suggested next action.

  4. Stage 4 of 5

    Review

The property manager reviews, changes, approves or redirects the proposed action.

  5. Stage 5 of 5

    Track

Keep the outstanding work, dependencies, approvals and follow-up visible until the item is resolved or formally handed off.

The first workflows being explored.

The first version should focus on high-frequency operational work that can be structured safely, reviewed by a person and returned to the team at the right point.

Enquiry and maintenance intake

Turn incoming enquiries and maintenance requests into a consistent summary, request category, missing-information list and potential urgency signal for review.

Incoming information

  • Email
  • Portal request
  • Call note
  • Attachment

Prepared result

  • Structured request summary
  • Request category
  • Missing-information list
  • Possible urgency signal

Review before the workflow continues

Human review by design

Human control is part of every workflow.

AI Property Manager is intended to reduce repetitive operational work—not take over professional judgement, legal responsibility or the relationships with owners, tenants and trades.

AI prepares

AI can prepare

  • Structured incoming information
  • Missing-context and urgency prompts
  • Summaries and routine communication drafts
  • Tasks and handoffs
  • Outstanding-work visibility

Review gate

Property manager review

Prepared work pauses here for a person to edit, redirect or approve before the workflow continues.

Illustrative approval boundary

People decide

People remain responsible for

  • Tenancy, legal, financial, safety and professional decisions
  • Expenditure and trade approval
  • Repairs and maintenance authorisation
  • Sensitive or consequential communication requires configured human review
  • Response commitments and outcomes
  • Owner, tenant and trade relationships

The exact approval rules and automation levels must be defined for each workflow before any controlled pilot.

How systems, permissions and records would work

The existing property-management platform remains the system of record. Any connection depends on provider access, permissions, data quality and the reliability required by the workflow. Where a direct integration is not available, the system should use a clear manual review, import, export or handoff rather than pretending the connection exists.

Questions about AI Property Manager.

Is AI Property Manager available now?

No. It is in development. This page describes the problem, intended operating model and planned workflow areas rather than a finished public product.

Who is it being designed for?

Property managers, property-management teams and agencies that want to reduce repetitive intake, communication, task and follow-up work while keeping professional decisions with people.

Will it replace the property manager, make decisions or approve maintenance?

No. It is intended to support operational work around the property manager. It will not replace the property manager or system of record, make tenancy, legal, financial, safety or professional decisions, approve expenditure or authorise trades, repairs or maintenance.

When will it launch, what will it cost and which systems will it connect to?

No public launch date, pricing or integration list has been approved. Any future connection will depend on provider access, permissions, data quality and the operating requirements of the workflow.

Help shape the first useful version.

The first useful version is being shaped around real operational constraints. Discuss one workflow—its exceptions, communication standards and review points—so a controlled pilot can reflect how your team actually works.

What we need to understand
